1. What this policy covers
This policy explains what personal data VIVACARE HEALTH Solutions Ltd collects through this website and related channels — quote requests, the Build My Facility configurator, contact forms, newsletter sign-up, career applications, the Customer Portal, and phone or WhatsApp enquiries — why it is collected, how it is used, and the choices available to you.
2. Data we collect
Depending on which form or channel you use, this may include: your name, job title and institution; email address and phone or WhatsApp number; country and facility type; product or solution interests and the answers you give the configurator; order and service history for portal accounts; and, for career applications, a CV, cover letter and the information they contain.
The website does not use third-party advertising trackers. Basic technical logs (such as IP address and request data) are processed to operate and secure the service.
3. How we use it
To respond to quotation, service, tender and career enquiries; to prepare a recommended configuration where you use Build My Facility; to operate Customer Portal accounts for approved institutions; to maintain records required for regulatory, tender and audit purposes; and, only where you have opted in, to send product, regulatory or service updates.
4. Legal basis and consent
Data is processed to answer the request you make, to perform or prepare a contract with your institution, to meet legal and regulatory obligations, and on VIVACARE's legitimate interest in operating and securing its service. Marketing updates are sent only with your consent, which you can withdraw at any time using the unsubscribe option or by contacting us.
5. Recruitment data
CVs, cover letters and related application data are processed only to evaluate the specific application they were submitted for, and are retained only as long as necessary for that purpose and for any legally required record-keeping, after which they are deleted.
6. Sharing
We do not sell personal data. Data may be shared with manufacturer partners strictly where necessary to process a warranty, service or product-specific regulatory request; with service providers that host and operate this website and its database under appropriate safeguards; and with regulators or authorities where required by law.
7. Retention
Enquiry data is retained as long as needed to handle the enquiry and any follow-up. Records tied to orders, tenders, regulatory obligations or audits are retained for the periods those obligations require. Portal account data is retained while the institution's account is active and for the legally required period after closure.
8. Security
Personal data is stored in access-controlled systems, transmitted over encrypted connections, and accessible to VIVACARE staff only where their role requires it. Customer Portal documents are available only to signed-in members of the institution they belong to and to authorised VIVACARE staff.
9. Your rights
You may request access to, correction of, or deletion of your personal data held by VIVACARE, and object to or restrict certain processing, subject to legal or regulatory retention requirements. To exercise these rights, contact us using the details on the Contact page; we respond within a reasonable period and verify identity before acting on a request.
10. Changes to this policy
VIVACARE may update this policy from time to time. Material changes are reflected in the "Last reviewed" date at the top of this page.
